Responsibilities:

- Administrative Support: Assist with various administrative tasks, including data entry, filing, photocopying, and maintaining office supplies. Collaborate with team members to ensure smooth daily operations.
- Scheduling and Appointments: Manage the appointment booking system, helping to schedule meetings and appointments for staff members. Keep track of meeting room availability and ensure rooms are ready for use.
- Mail and Email Handling: Receive, sort, and distribute incoming mail and packages promptly. Manage outgoing mail and arrange courier services as required. Monitor and respond to general email inquiries professionally.
- Visitor Coordination: Ensure that visitors are signed in and provided with the necessary identification. Maintain a visitor logbook to track guests' entry and exit from the premises.
- Information Dissemination: Disseminate internal and external communications effectively, including memos, newsletters, and other essential information.
- Maintain Reception Area: Keep the reception area neat and tidy at all times. Ensure promotional materials, brochures, and business cards are available for guests.
Requirements:
- Education: High school diploma or equivalent.
- Communication Skills: Exceptional verbal and written communication skills in English. Fluency in other languages is an asset but not mandatory.
- Interpersonal Skills: A welcoming and approachable personality, able to interact professionally with visitors, clients, and staff.
- Organization: Strong organizational skills with an attention to detail. Ability to multitask and prioritize responsibilities.
- Tech Savvy: Proficiency in using basic computer applications, such as Microsoft Office (Word, Excel, Outlook).
- Reliability: Punctual and dependable, able to adhere to schedules and work diligently without constant supervision.
- Adaptability: Willingness to learn and adapt to new challenges. Open to constructive feedback and continuous improvement.
Preferred, but not mandatory:
Previous experience in a customer service or administrative role will be considered an asset, but we encourage motivated individuals without prior experience to apply.
